Fort Collins Academic Coaching ("we," "us," or "our") is committed to protecting the privacy of our clients. This Privacy Policy explains how we collect, use, and protect your information, including policies for students under and over 18 years of age. By using our coaching services, you agree to this Privacy Policy.

1. Information We Collect

We may collect the following types of information when providing coaching services:

  • Personal Information: Name, age, contact details (phone, email), and emergency contact information.

  • Academic Information: Strengths, challenges, and progress reports related to coaching services.

  • Session Notes: Observations, recommended strategies, and feedback on student progress.

  • Payment Information: If applicable, payments are processed securely through third-party payment providers (e.g., Stripe, Square) and are not stored by us.

2. Information Sharing Policy

We follow different confidentiality rules based on the client’s age:

Students Under 18

  • For students under 18, a parental/guardian consent form must be signed before coaching services begin. This ensures that parents understand and approve of the services provided.

  • Information shared during coaching sessions can and will be shared with parents/guardians as needed.

  • Parents/guardians may request progress reports, session summaries, or recommendations.

  • We may discuss academic challenges, executive functioning skills, and study progress with parents but will respect student privacy where appropriate.

Students Over 18

  • Information shared during coaching sessions is confidential and will not be shared with any third party (including parents) without written consent from the client.

  • Clients must sign an Information Release Form if they wish to allow any information to be shared with parents, educators, or third parties.

3. Exceptions to Confidentiality (Mandated Reporting)

In accordance with state and federal laws, we must disclose information to the appropriate authorities in the following cases:

  • Suspected Child Abuse or Neglect – If there is reason to believe a minor is experiencing abuse, neglect, or exploitation.

  • Harm to Self or Others – If a client expresses intent to harm themselves or another person.

  • Illegal Activities – If a client discloses participation in illegal activities that require mandatory reporting.

These disclosures will be made to the appropriate law enforcement or social service agencies as required by law.

4. Data Security & Storage

  • All client information is stored securely using password-protected databases and encrypted files.

  • We do not sell, trade, or rent personal information to third parties.

  • Access to student information is restricted to authorized personnel (i.e., your coach).

5. Client Rights & Requests

Clients (or parents/guardians of minors) have the right to:

  • Request access to session records (unless legally restricted).

  • Request corrections to inaccurate personal information.

  • Withdraw consent for information sharing (for students over 18).
